Answer
How do I get my employees to actually use AI?
Employees use AI when the first task is already set up for them. Our office team started with the tools and instructions ready on day one. In one two-hour session, an operations coordinator who had never used this kind of tool was running it himself. You talk to it in plain English. Pick one task, set it up first, and name one AI champion who keeps shared prompts in one place.

How to do it
- Ask your team who already uses AI and for what, and bring those uses into the open.
- Pick one task that happens weekly, follows the same steps and costs at least three team hours.
- Set it up before you hand it over: the tools and the instructions, ready on day one.
- Name one AI champion, give them two hours a week, and keep shared prompts in one place.
- Move the task to draft and approve. The assistant drafts, and a person signs off before it goes out.
- Write the procedure down. Talk through how the job gets done, and AI turns it into a written procedure your team can follow.
